Create a Recurring Billing from Proposal/Contract

Once you've created a proposal or contract, Deskworks enables you to generate a Recurring Billing directly from that document with just one click.


Steps to Create a Recurring Billing from a Proposal/Contract:

  1. Navigate to BILLING > PROPOSALS/CONTRACTS.
  2. Select the appropriate document.
  3. Click CREATE RECURRING BILLING.


You will be taken directly to the RECURRING BILLING page for the first recurring item in the proposal. From there, you can modify the Recurring Billing as needed. 


Key Details to Keep in Mind:


Recurring Billings

  • A separate Recurring Billing will be created for each recurring line item on the proposal (one-time charges are excluded). Review and modify each Recurring Billing as needed.


Assigned Dedicated Spaces

  • If you specified a dedicated space in the proposal, you will see it selected in the Recurring Billing -- and it will be automatically removed from your available spaces. (On your Availability Report, you will see it removed from the Vacancy section and displaying on the Occupied  section, with price, discount and start date information!)


Discounts

  • If a discount was added to the proposal, it will appear as a one-time discount in Recurring Billing. 
  • For discounts to apply to future months, modify the DISCOUNTS section directly within the Recurring Billing.


Billing Dates

  • Last Billed On and Next Billed On dates are required. Make sure to fill these fields out to ensure an invoice is generated automatically. 
    • If you check the box, "Post Pro-ration", the Last Billed On date will populate automatically. Otherwise, enter an appropriate date. 
    • The Next Billed On date will populate with the 1st of the next month. You can change the date if needed.
  • Notice Dates and Renewal Dates are optional, but recommended for optimal operations and reporting.


Price Lists

  • Confirm the Price List on the Recurring Billing matches the Price List on the Member's Profile. 
    • The Price List associated with the Recurring Billing can be found under the GENERAL section of the Recurring Billing. 
    • The Price List assigned to the Member can be found on the Member Profile (MEMBERS > VIEW/EDIT PROFILE) under the MEMBERSHIP section. Ensure the Status is "Active" and the Price List is the same as the Price List displayed in all active Recurring Billings you want invoiced automatically.
