Deskworks allows you to prorate a membership plan at startup and/or at termination of the plan. Your choice of when to prorate is set up in SETTINGS. Automatic Proration is ONLY AVAILABLE IF YOU BILL ALL USERS ON THE 1st OF EACH MONTH.
To set up your proration structure go to SETUP > SETTINGS. In the PRO-RATION section:
- Prorate at Start: from the dropdown menu choose: None, 1st month, or 2nd month.
None: No proration will occur when a new member is registered. Ex: New member starts on the 16th of the month and pays for one full month, their NEXT BILL DATE will be the 16th of the following month.
1st month: the 1st charge will be prorated to cover the charge due for the rest of the current (or starting) month. Ex: New member starts on the 16th of the month and, in registration, is automatically charged for 15 days, or .5 x full month. NEXT BILL DATE is set to the 1st of the following month.
2nd month: the 1st charge will be for a full month. A credit will post to their account automatically for the period of time they have already paid for the 2nd month; NEXT BILL DATE is set to the 1st of the next month. Ex. the new member starts on the 16th of the month on a $300/month plan. Their first charge is for $300. A credit of $150 is posted to their account automatically to cover the 1st 15 days of the 2nd month (that they have already paid for.) On the 1st of the 2nd month, the full charge of $300 is posted, and the $150 credit is subtracted.

- Prorate at Termination: from the dropdown menu choose: None, Notice Date, or Termination Date.
None: No proration will be posted when a member gives notice or terminates a plan, even if this occurs in the middle of the month or if they have overpaid beyond their termination date. Prorations, if desired, can be manually calculated and entered.
Notice Date: A charge is posted on the Notice Date for the period from the 1st of the next month to the end of the Notice Period required. You can take payment immediately if you choose. The Recurring Billing will not be charged on the 1st of the next month, but the sweep of reservations and passes will occur.
Termination Date: On the 1st of the next month, the regular Recurring Billing charge will post and a credit will be applied for the days after Termination (that should not be charged for.)
