Several sites experienced payments showing as settled/paid in Deskworks, but there were no matching payments which took place in PlacePay. This is an issue that is actually limited to Deskworks clients using PlacePay only (any locations using Stripe or Authorize.net are not affected) and was caused by PlacePay processing times. When auto-payments were sent from Deskworks to PlacePay this month, in certain cases PlacePay was taking a very long time to respond/process the payments. When it was taking over more than a couple of minutes to respond, the payments would fail and an error code would be sent back to Deskworks. This was a code that Deskworks hadn't encountered before, and not knowing what to do with it the software recorded the payments as having successfully processed even though they had not. This resulted in Deskworks showing successful payments, but PlacePay not even having a record of payment attempts because they timed those attempts out.
We have taken the immediate action of fixing it so that if Deskworks encounters an issue of this kind again, it will recognize the error as payment failure and will NOT record such payments successfully again. We've also extended the time-out time in Deskworks, so PlacePay can take up to 5 minutes to process payments before a time-out occurs. This should prevent anything like this from happening again, even if PlacePay completely fails to process payments within that 5 minute window.
For the June auto-payments this affected we simply needed to see the PlacePay record from each location showing what payments have successfully processed in PlacePay for June. This data has been provided by Roy and others and has been sent to our developers for action. The developers are in the process of removing from Deskworks the record of any payments that were not actually successful - this will make the PlacePay and Deskworks payment records match. Once that is done, all these owners need to do is:
- Go to Accounting>Bulk Credit Card Charges
- Check the box "Include All"
- Click the button "Charge Cards"
