We're introducing a new way to manage your upcoming charges and invoices. With this updated structure, you can add charges throughout the month without affecting Accounts Receivable until monthly invoices generate. Simply enter any charges incurred throughout the month in the new Current Charges section, and they will be automatically included in the next invoice. Automated late fees are conveniently added here too! Plus, enjoy the flexibility to create invoices that won't auto-consolidate, remaining on account for later payment.
To use Current Charges:
1. Got to BILLING > CHARGES/PAYMENTS (i.e. POST PAYMENTS OR CHARGES)
- Locate the new CURRENT CHARGES section:
2. Click CREATE/EDIT CURRENT CHARGES +
- Enter any current charges during the month in this area.
- These will sweep to an invoice with your recurring charges on the Next Bill Date.
- Auto Late Fees will show up in the Current Charges section automatically (if this setting is turned on) and will sweep to the next invoice.
Note: If you want to create an invoice from Current Charges, rather than wait for these charges to sweep on the regular invoice date, just click CREATE INVOICE $ from the CURRENT CHARGES screen.
There are a few additional items to note with the Current Charges structure:
- If you integrate with QuickBooks, Current Charges do not create charges in QuickBooks until they are swept to an invoice.
- You can now create an invoice that can stay on someone’s account for future payment. For example:
- Jane has a regular recurring Office Membership, charged at $900/month.
- Jane is holding an event in 3 months, but you want to give her an invoice now and take a 20% downpayment.
- Create a new invoice.
- Take a 20% payment against the invoice.
- The balance of the invoice will NOT sweep to her next regular recurring invoice. It will sit on the account until you take the balance of the amount due, which you can do any time you want to.
- Please be advised: Outstanding invoices WILL NOT SWEEP AUTOMATICALLY. If you want existing charges to sweep on to the next recurring invoice, RE-ENTER THEM AS CURRENT CHARGES.
- Late Fees can be deleted from an invoice at your discretion. For example, you may need to remove late fees from Aggregator accounts at time of processing if payment is received after late fees have been apple.
